How to send Google Form Data to WhatsApp using Pabbly

This article will discuss how to automate the workflow of sending WhatsApp messages to customers. This is the prevalent task of many organization that sends their marketing PDF brochure to new customers to give more details about their product or services. But, it becomes cumbersome when you manually send different PDF files according to the enquiries of the customers.

To address this problem, we need to create an automation pipeline that automatically sends the desired PDF brochure to the customers according to the type of enquiry. But what if you do not have any programming skills to get this job done? Do not worry, we will see how to automate this task with almost no programming included.

What is Automation?

To reduce the time and effort on daily tasks, automation is a way to go.

What is WebHook?

Webhook is used when we need communication between different apps or systems. Completing or achieving most of the tasks nowadays involves communication and sharing data between two or more apps. Suppose, we need to send Google Form data to WhatsApp, we need a sort of data communication between the two apps and the webhook plays a part here.

In other words, the webhook provides a way to communicate between two apps. When any event occurs in the source app, it shares information or payload to the destination app regarding the event that has occurred. Then the destination app performs the desired action against the triggered event.

What is Pabbly Connect?

Pabbly Connect is a tool that helps to create task automation workflow by integrating many apps and data flow. You need not be a programmer or technical expert to create automation workflow in a Pabbly. We have used Pabbly as an automation tool in this article.

WhatsApp Cloud API

Meta has opened WhatsApp Cloud API to all businesses which means that even small businesses can provide a delightful customer experience with WhatsApp API.

We have used WhatsApp Cloud API in this example which sends a PDF Brochure via WhatsApp message to the customers when they submit Google Form.

The Automation Workflow

Our main goal is to send a PDF Brochure to the customer when they submit Google Forms. The PDF file will be dynamically sent according to the type of enquiry, if the customer selects the Matric Course, only the brochure of that course will be sent to him.

Below is the step-by-step guide to the project workflow.

  1. We will create a Google Form that includes various fields to take customer information. Customers will be able to choose the product or service he/she is interested in. After providing the required information along with the WhatsApp number, the customer will submit the google form.
  2. Once the google form is submitted, its response will be added as a new row in Google Sheet attached to Google Form. The Google sheet also contains the Google Drive download URL of each PDF Voucher that is automatically populated according to the type of enquiry selected by the customer.
  3. Insertion of a new row in Google Sheets triggers the automation workflow.
  4. We have used a Pabbly Webhook Extension in Google Sheet that captures the data of every newly inserted row, and send it to the Pabbly Automation Tool as a payload.
  5. The Pabbly extract useful information from the payload and send information to WhatsApp Cloud API.
  6. We will create a WhatsApp template message that will be sent to each customer. The message will contain the PDF brochure, customer name and greeting.
  7. The customer receives the WhatsApp message with the desired PDF brochure.
